Making a Smart Workplace Reality
LeasePlan Hellas, the Greek subsidiary of automotive business and Cars-as-a-Service (CaaS) provider, LeasePlan, is using Sony TEOS workplace tools to streamline room and AV management, and support collaboration.
The company’s main office in Athens accommodates 134 people working across a variety of functions, including customer relations and sales.
Faced with the challenge of effectively managing a heavy volume of important meetings, visitors and internal communications, LeasePlan embarked on a project to create a more efficient and productive office environment, with technology at its core.
LeasePlan Hellas called on Sony and installer Technologica Systems to create a solution that would transform inefficient room and digital signage management with a sleek and intuitive new system, streamline high-traffic days in the office and drive a true cultural shift internally.
Understanding complex requirements
Before enlisting the support of Sony, LeasePlan Hellas did not have the right technology to manage the complexity of rapidly changing room bookings in its large Athens office.
With large offices and a customer-centric business, LeasePlan Hellas needed to optimise its working environment to empower staff and visitors to work more effectively and productively.
Diary clashes were also common and often staff would have to rush to make sure a room was booked and ready. George wanted to ensure that staff would be prepared and comfortable, and not worry about finding rooms before important meetings.
George Mytilinaios, IT Director of LeasePlan Hellas needed a solution that would help manage and simplify processes and resource management for the large number of clients and suppliers visiting the site, as well as the internal meetings taking place every day. Staff often felt the office was at maximum capacity and couldn’t accommodate everyone’s needs.
George approached Sony through Technologica Systems S.A. to discuss how LeasePlan could overcome its challenges, streamline space management and impress its visitors with a smart and high-tech operation in keeping with the organisation’s reputation

Hardware, software and customisation: a total solution
Sony and Technologic Systems equipped LeasePlan Hellas with a total solution for room and digital signage management.
Together they combined 20 BRAVIA 4K Professional displays and several interactive tablets with the interface and intelligent software from the Sony TEOS suite of workspace management solutions.
Meeting rooms can now be managed seamlessly through the business-optimised booking solution, TEOS Book, with interactive tablets outside rooms used to make new, or confirm existing, bookings.
The system integrates with other LeasePlan corporate booking systems to alleviate the risk of diary clashes and facilitate a more productive flow of people throughout the office environment.
Customised templates on each of the tablets ensure consistent branding throughout the office and a holistic experience for visiting customers.
And, beyond meeting rooms, digital signage throughout the building is controlled remotely using Sony’s TEOS Manage display device and room management software. This means company announcements can be communicated rapidly via onsite screens, with the TEOS Manage also offering energy management tools to track usage and highlight how AV and IT teams can make operations more efficient.
Impacting culture and employee engagements
The response to the new solution from employees and visitors alike has been overwhelmingly positive.
While the Sony solution has driven significant improvements in workspace management and helped to create a seamless AV experience at the Athens office, its impact transcends far beyond the office environment itself.
