Delivering Physical Documents Safely

A new ‘smart locker’ feature for Mitie’s ‘Pinpoint’ mail tracking platform is facilitating contactless workplace delivery of mandatory physical documents within the financial and legal sectors during lockdown.

Utilising technology supplied by UK field service management software company the new feature removes unnecessary face-to-face interaction by allowing staff to pick up deliveries from the office when it best suits them, and keeps potentially confidential items completely secure while awaiting collection.

Created seven years ago, Pinpoint is Mitie’s main platform in helping its customers deliver their track and trace objectives. Having recently been integrated with Totalmobile’s new smart locker application, Pinpoint is now designed to transform the way deliveries are made to employees and businesses. Pinpoint’s latest feature allows it to connect with smart lockers, facilitating seamless and secure deliveries that can be collected at the recipient’s convenience.

The built-in workflow enables either external or internal deliveries to be logged onto the Totalmobile system; an API is called to the locker for availability and a locker is allocated. The API then calls back and reserves a locker, which is then opened for drop-off after an assigned single use pin number is entered. A message is then immediately sent to the recipient to inform them that their delivery is ready to be collected.

With the smart locker application now deployed, multiple deliveries can be made at once, without the need for numerous visits across one site. Mailroom staff no longer deliver multiple parcels at different times each day and are afforded more time to continue with their core roles.

Nick Jeffreys, managing director of Property and Facilities Management at Totalmobile, comments: “Our smart locker app allows Mitie’s clients an extra level of flexibility that makes their working lives easier.

“Not only does the solution keep delivered items secure while awaiting collection, but the entire process is now completely seamless, straightforward and user friendly”
